Email one time passcode authentication

As you may already know, this method lets an external user access content shared in a Teams group, on OneDrive, or on SharePoint Online.

This new sign-in method is called email one time passcode authentication, and it allows an external guest to sign in without having to create a Microsoft 365 account.

This makes the experience extremely simple for the external user.

The process of exchanging materials becomes more natural.

How guest sign-in on Teams works

The user receives the email they were invited with in your tenant, clicks the link, sees the company logo if it has been configured, and then receives a sign-in code by email.

They just need to enter it on the same page to get in, without having to create a Microsoft account, which used to be one of the barriers to authenticated, non-anonymous access for external users.

We already saw a preview of this feature with OneDrive.

The big difference with that sign-in feature is that this type of authentication applies to the external user’s access to any other resource or application in our tenant.

This will also become the default sign-in method for all guest users starting at the end of March 2021.

Who doesn’t receive the passcode for sign-in?

In which cases will an external user not receive this one time passcode?

There are three types of users who won’t be able to use the temporary code.

1 The person’s email address belongs to another Microsoft 365 tenant.

2 The external user already has a Microsoft account, so they can sign in with their own credentials.

3 They’re a Google user whose email has a gmail.com or google.com address, and their tenant has set up the integration between Google and Microsoft 365.

All other users will receive the code.

Choose the sign-in method you prefer

If you’re an administrator, you should know that email one time passcode authentication can also be disabled in favor of a guest sign-in via a OneDrive or SharePoint link, or via Microsoft accounts.

This easier sign-in experience is great news, especially for encouraging and simplifying collaboration between company users and external guests.
