What you can do with Teams
Microsoft Teams is the ideal collaboration tool for your daily work. With Teams, you get access to document storage, chat, and a fully customizable online meeting environment. Teams is the hub for teamwork in Microsoft 365.
If you’ve ever taken part in a group project at work, you’ll definitely appreciate the huge potential Microsoft Teams offers.
Every feature is designed for business collaboration and comes with a range of different tools, some of which can be essential for improving communication efficiency at work, and therefore sharing and cooperation.
1. Fully integrated with Microsoft 365
Like every other Microsoft product, Teams integrates seamlessly with Microsoft 365. The apps from the old Office 365 suite used daily in the workplace, like Word, Excel, PowerPoint, OneNote, SharePoint, and Outlook, are fully integrated with Microsoft Teams.
This system is the best solution for companies that want to build an intranet based on collaboration. It’s also a useful tool that brings together all of employees’ work needs in a single hub.
You can quickly and easily create teams with your colleagues, restore deleted groups, change a group’s email alias, and use tabs to customize your teams’ content.
2. Chat for conversations
You can have chat channels dedicated to specific topics, or involve only specific people.
This feature makes it much easier to manage messaging around a specific topic or project, and solves problems faster without distractions.
The Posts tab in Microsoft Teams shows up in the General channel. It also appears in every other additional channel you create.
Every member of the group can contribute to this channel. All channel participants can view messages, as well as shared files, simply by opening the Files tab.

With Teams, you can stop using email for communications that need quick responses and interaction.
There will be less clutter in your inbox; conversations happen through Teams chat instead of waiting too long for email replies.
One of the best Microsoft Teams features is the ability to send an email to a team’s channel, with the email content shown in the conversation as a thread visible to every team member.
4. Direct access to OneDrive and SharePoint files
By using Microsoft Teams, you can access every Microsoft 365 app from a single platform, so you can work more efficiently.
Access files and documents in OneDrive and SharePoint, and make calls or video conferences directly from Teams.
When working on a project, all documents and messages should be easy to access in one place. Microsoft Teams gives you exactly that.
Everything you need for a particular project can be found in one place, including messages, meetings, notes, and documents. You can also reach collaborators online in real time, making collaboration fast and direct, as a thread visible to every team member.
5. Access Teams from any device
The Teams interface is designed to improve collaboration with your colleagues. With Teams, you can communicate with your colleagues even when you’re out of the office, by signing in directly from the mobile app.
Available on Android and iOS, Teams is a simple, easy-to-use app that lets you chat with your team, talk through voice messages, or start immediate or scheduled video conference meetings.
6. Security and compliance
Security is one of the top concerns for anyone managing an online network.
Microsoft Teams is far more advanced than its competitors when it comes to security.
By subscribing to Microsoft 365, you get all the online security of Microsoft technology, both for Teams and for every other app in the Microsoft suite.
You can customize the groups working on Teams to be private or public, giving access or visibility only to authorized people.
With Microsoft Teams, you get advanced security controls including data loss prevention, information barriers, retention policies, and more.
No software can stop every phishing or malware attempt, but Microsoft Teams has stepped up its cybersecurity, offering two-factor authentication and reliable encrypted data as well.
7. Collaborate with vendors and clients
Teams lets you invite users who aren’t part of your company or organization to chat, simply by adding their email to the chat group.
The platform registers and displays new members as “guests.”
This is a very useful and necessary feature when working on a project with vendors or third parties.
Guest access lets your organization’s teams collaborate with clients, contractors, stakeholders, and anyone else you need to work with, giving them access to your existing groups and channels. Admins can control which features guests have access to.
You can always be sure that information is only handled by people who have permission to do so.
Anyone with a work email account, or Outlook, Gmail, or other providers, can join Teams as a guest.
8. Quick search
Microsoft Teams has an efficient, fast search feature.
The Teams search feature lets you quickly find information relevant to previous conversations or files.
Content search capabilities also provide a way to find the information you need across other Microsoft 365 tools, including:
-
Exchange
-
SharePoint Online
-
OneDrive for Business
9. Better email management
Microsoft Teams lets you forward emails directly to your Teams channel to share them with stakeholders in seconds. Click the ellipsis next to the channel name and select “Get email address.”
Teams’ goal is to improve communication, tasks, meetings, and idea generation in the workplace within a single platform, fitting into the way you already work with the people around you. Teams makes it easier to organize the work of different groups, not just individual team members.
10. Discussions
Microsoft Teams handles conversations between users as threads.
Inside a team, you can create multiple chat rooms and channels. Conversations are listed from top to bottom.
Users get notified whenever there are updates in a discussion, and if they need to talk to someone face to face, they can start a video call or leave audio messages through voice chat.

11. @Mentions
The best way to make sure someone on your team sees your message is to @mention them!
All you have to do is type @ before someone’s name, and the person you want to reach will be notified.
If you need to reach your whole team, type @teamname before your message and everyone on your team will get a notification.
You can also type @channel before your message to let everyone in a channel know you’ve posted something.
This saves you from emailing your group of colleagues and having to deal with all the replies.
Less email, more time to work.
12. Standard or private channels
Standard Teams channels are available to every team member.
Most channels are standard channels.
If you need to reach a smaller, specific audience for a particular topic, you can use a private channel.
-
Standard channels: open to all members, and everything posted is available to colleagues’ searches. By default, every team member can create standard channels. Tenant owners can change this permission, restricting channel creation to specific roles.
-
Private channels: for discussions that aren’t accessible to every member, so you need to be invited to join one to see it inside a team.
Any team owner or member can create a private channel and add members.
Guests can’t create channels.
Admins can change this permission and restrict private channel creation to specific roles.
Conclusion
These many features give you an idea of how Microsoft Teams is a huge advantage for companies using Microsoft 365, because it’s a tool that efficiently supports every collaboration need.
Microsoft Teams is the ideal tool for collaborating at work, offering document storage, chat, and fully customizable online meeting environments.
